TSIA Events Registration Terms and Conditions
These Events Registration Terms and Conditions ("Terms") govern your registration for and attendance at TSIA conferences and events (each, an "Event"). By registering for or attending an Event, you agree to be bound by these Terms, as well as TSIA’s Privacy Policy available at https://www.tsia.com/legal-and-privacy.
Registration and Eligibility
To attend a TSIA Event, you must complete registration through the official Event registration website. Upon successful registration, you will receive a confirmation at the email address provided during registration.
TSIA reserves the right, in its sole discretion, to approve, deny, cancel, or revoke any registration at any time, including terminating or modifying any discount, voucher, or promotional offer.
Fees and Payments
Payment Methods
Event registration fees may apply. If payment is required, you must provide valid payment information at the time of registration.
Accepted payment methods include Visa, Mastercard, American Express, and Discover. Credit cards are charged at the time of online registration.
Receipts and Invoices
Receipts: Payment confirmations and receipts are sent via email and included with your registration confirmation.
Invoices: Invoice requests must be submitted to events@tsia.com.
Vouchers and Discounts
For registrations made by TSIA members using a non-voucher payment type (i.e., credit card), registrants may request that a voucher be applied and a refund issued back to the original form of payment.
TSIA reserves the right, without notice, to cancel, modify or impose conditions on the use or honoring of any discount code, voucher, or promotion. Any refunds issued due to TSIA’s cancellation of a registration will be subject to TSIA’s refund policies.
Payments made for one Event registration may not be applied to future Events, products, or services.
No refunds or credits will be issued for no-shows or failure to attend the event.
Group Registrations
Individuals registering multiple people from a TSIA member organization, TSIA Partner or Sponsor, or non-member company through the online registration platform, must ensure that all registered participants are informed of their registration, they all agree to the Terms, and they all agree to the TSIA’s Privacy Policy noted here: https://www.tsia.com/legal-and-privacy.
Transfers, Cancellations, and Refunds
Transfers
TSIA may permit you to transfer your registration for certain Events to another person within your organization. Each transfer or cancellation request permitted by TSIA must be submitted to events@tsia.com and will be processed based on the time and date that the request was submitted.
Cancellations and Refunds
All cancellation or refund requests must be submitted in writing to events@tsia.com. Requests are processed based on the date and time received.
No refund, partial refund, or credit will be issued for:
- Requests not submitted to events@tsia.com;
- No-shows or failure to attend the Event for any reason; or
- Requests submitted after applicable refund deadlines, if any.
Approved refunds will be processed within thirty (30) days of the request.
Event Changes and Agenda Disclosure
Speakers, sessions, and topics are confirmed at the time of publication, but are subject to change. TSIA does not guarantee the attendance of any speaker, exhibitor, sponsor, or other third party, nor that any specific session or activity will take place.
TSIA reserves the right to modify the Event agenda, speakers, sessions, location, or format at any time. No refunds or reimbursements will be issued due to such changes.
Event Changes
TSIA does not guarantee the attendance of any third party (including exhibitors or speakers), or that any scheduled session, breakout, keynote, or other activity posted on the event agenda will take place as scheduled. Events are subject to change at any time.
Other Terms and Conditions
Hotel Reservations
Hotel reservation services may be offered at a discounted rate through third-party providers. TSIA is not responsible for hotel arrangements, cancellations, disputes or travel expenses including airfare, lodging, meals, or transportation, even if an Event is modified or cancelled. You are responsible for complying with the hotel’s cancellation policy.
Content Usage and Distribution
The materials and content presented at TSIA Events, including but not limited to presentations, workshops, discussions, and documentation, are provided for personal use only. Attendees are strictly prohibited from downloading, recording, sharing, publishing, or distributing any Event content on social media platforms, AI assistants (i.e., ChatGPT, CoPilot, Gemini) or other similar platforms. Unauthorized distribution, whether by physical or digital means, is a violation of our Terms and may result in legal action.
Sponsors and Exhibitors
By interacting with sponsors or exhibitors, their content, and allowing badge scans, you consent to receive communications from those entities in accordance with their respective privacy policies. TSIA is not responsible for the privacy practices of sponsors or exhibitors, and attendees must opt out directly with those parties.
Any subcontractors or affiliates of the sponsor receiving your information are prohibited from selling or sharing your information with any third parties, and may only use it to market the products or services of the sponsor itself or of one of its affiliates.
Badge Use and Scanning
Event badges may contain RFID, NFC, or similar technology to track attendance and participation (including visiting booths and attending sessions). By allowing your badge to be scanned you hereby authorize the operator of the badge scanner or similar technology to collect such information.
TSIA is not responsible for the privacy practices of any sponsor. If you do not wish to permit the uses and disclosures of information, do not scan your badge or allow any sponsor or third party to scan your badge.
Your badge will be available for you to pick up at the registration check-in area of the Event during the scheduled dates. You will not be permitted into the event without a badge.
You will not sell, share, or exchange your badge with any other person. Failure to comply with this requirement may result in confiscation of your badge and termination of your attendance.
Third-Party Applications
TSIA partners with third-party application providers to enhance the attendee experience. As an attendee, you acknowledge that any third-party application TSIA uses for the event are developed and maintained by third-party providers. These third-party applications may have their own terms of use, conditions, privacy policies, and practices that may differ from those of TSIA.
Photography and Recording
Attendees may not record, photograph, transmit, or livestream keynotes, breakout sessions, workshops, table-side conversations, and performances without prior written authorization from TSIA. TSIA disclaims all liability for unauthorized recordings made by other attendees.
TSIA may photograph, audio record, or video record the Event and its participants, including sessions, interviews, and activities. By attending, you grant TSIA a perpetual, worldwide, royalty-free right to use your likeness, name, and company in any media now known or later developed for marketing, promotional, archival, and internal purposes, without compensation or further consent. Recordings of mainstage and breakout sessions may be made available through the TSIA Portal, and recordings of workshops or roundtables may be used for internal purposes only.
Security
TSIA reserves the right to implement security measures to ensure the safety of attendees. You agree to comply with all security requirements.
TSIA is not responsible for lost, stolen, or unattended personal property.
You will not bring with you or have in your possession any prohibited items. Prohibited items include, but are not limited to:
- Weapons of any kind, including firearms, knives, mace/pepper spray, tasers, stun guns, or any item that can be mistaken as a weapon. This policy applies regardless of hotel policy and state or local carry and conceal laws;
- Banners, signs, or placecards, unless authorized by show management;
- Outside alcohol;
- Illegal substances;
- WiFi or Bluetooth signal disruptors;
- Pets or animals, except approved service animals. Service animals must remain under the control of the owner at all times. Show management must be notified in advance at events@tsia.com
Health & Safety Compliance
You agree to comply with all applicable health, safety, and venue requirements in effect at the time of the event, including any policies related to illness prevention or public health guidance.
Force Majeure
TSIA shall not be liable for any delay, cancellation, or modification of an event due to causes beyond its reasonable control, including but not limited to acts of God, natural disasters, public health emergencies, government regulations, labor disputes, war, terrorism, or failure of suppliers or venues. In such circumstances, TSIA may, at its discretion, offer a credit or refund in accordance with its refund policies.
Liability
To the maximum extent permitted by law, TSIA shall not be liable for any indirect, incidental, consequential, special, or punitive damages arising out of or related to your attendance at the event. TSIA’s total liability shall not exceed the amount paid by you for event registration.
You acknowledge and agree that attendance at an in-person event involves inherent risks, including but not limited to personal injury, illness, property loss, or exposure to communicable diseases. By attending, you voluntarily assume all such risks and release TSIA from any related claims, except where prohibited by law.
Modifications to Terms and Conditions
TSIA reserves the right to update or modify these Terms at any time. Updated Terms will be posted on the event registration website and will be effective immediately upon posting.
