Registration and Conference Coordinator

The Technology Services Industry Association (TSIA) is seeking a highly-detailed Registration and Conference Coordinator to join our Events team. The position is located in our San Diego, CA office. 
The Registration and Conference Coordinator has responsibilities supporting the Conference Management team by overseeing registration for two large events per year (could be more in the future), as well as supporting other conference tasks. This position will be responsible for the development of event registration, providing excellent customer service and execution of the on-site registration process for each event.


  • Provide superior customer service support by taking registration calls, responding to emails, and providing registration support to attendees both pre-conference and on-site
  • Manage event registration set up using the Aventri platform, and ensure registration sites are in compliance with company’s best practices, privacy and data policies
  • Add all discount codes to registration system, as well as create codes as needed
  • Manage weekly registration reporting to company, which includes comparing how many attendees registered vs how many rooms are booked against contract
  • Review and evaluate registration errors and correct data to ensure accuracy of records both pre- and post-conference
  • Assist with additional ad hoc registration reporting needs and setting up report access
  • Assist with conference special event/networking registration and tracking
  • Work with outside vendor for badge printing, including badge layout, codes, and reports
  • Manage on-site registration desk at each event
  • Prepare post-conference final registration reconciliation
  • Identify best practices for registration processing and reporting, and support the implementation of these best practices

General Conference Responsibilities:

  • Manage the TSIA staff rooming list for hotel reservations, as well as manage VIP transfers and hotel upgrades
  • Organize, inventory, and pack/unpack conference supplies pre-/on-site/post-conference
  • Create and manage post-conference survey and internal debrief outputs, and maintain review notes
  • Assist with PowerPoint presentation creation and updating for internal pre-conference meetings
  • Assist with various tasks related to TSIA staff special events

Knowledge, Skills and Education Requirements:

  • Bachelor degree in related field or equivalent
  • Minimum of 2-5 years of documented related experience, knowledge of the hospitality/event show industry
  • Strong knowledge of registration planning processes
  • Experience with registration software, Aventri preferred, but not required
  • Experience with large conference registration a plus
  • Extreme attention to detail is required
  • Excellent oral and written communication skills
  • Strong, positive customer service skills
  • Must be able to work under demanding conditions
  • Ability to multi-task, prioritize and manage time according to deadlines
  • Ability to work well independently and collaboratively
  • Willingness to travel required (currently one week twice per year in May/October)
  • Ability and willingness to work extra hours as needed leading up to Conference dates
  • Proficiency in MS Office applications
  • Familiarity with Wrike or similar project management systems a plus
  • Must be able to lift 25-35 lbs, bend, and lift conference supplies
